Bien Venue Venue Portal — Acceptable Use Policy

1. Purpose

The venue portal lets venues keep their own details on the Bien Venue platform accurate and up to date, including descriptions, photos, capacities, meeting rooms and amenities. This policy sets out who may use it and how.

By signing in, you agree to this policy.

2. Who may use the portal

Access is granted by Bien Venue and is limited to:

  • Venue staff acting for a venue, brand or ownership group, and
  • Representation companies (agencies, asset managers, sales and marketing representation firms, or other intermediaries) that have been authorised to manage a venue's profile on the owner's behalf.

Bien Venue decides what each account can access. Access is given per brand, per ownership group, or per individual venue, and can be changed or removed at any time.

3. Representation companies and intermediaries

If you use the portal as a representation company or any other intermediary, you confirm that:

  • You are authorised by the venue, its owner, brand or operator to view and edit the profiles you have been given access to.
  • You will only act within that authority, and you will tell Bien Venue promptly if your authority to act for a venue ends.
  • You are responsible for everyone you allow to use your account or your organisation's accounts, and for everything done through them.
  • You will not use access granted for one client to view, copy or edit information about another venue you are not authorised to manage.

Bien Venue may ask for evidence of your authority and may suspend access while it checks.

4. Your account

  • Accounts are personal to the named individual. Do not share your login or one-time codes.
  • We use passwordless sign-in (a one-time code by email). Keep your email account secure.
  • Tell us immediately if you think someone else has used your account.

5. Acceptable content

When you add or change information you must ensure it is:

  • Accurate and current. Keep capacities, rooms, amenities and contact-free descriptions truthful and up to date.
  • Yours to use. Only upload photos and text you own or have the right to use. You grant Bien Venue a licence to display this content across its platform, client proposals and public venue directory.
  • Appropriate. No misleading, offensive, discriminatory, defamatory or unlawful content.

You must not:

  • Add direct booking links, third-party website addresses, supplier contact details or pricing intended to route enquiries away from Bien Venue.
  • Upload personal data about other people unless you have a lawful basis to do so.
  • Attempt to access venues, brands or groups you have not been granted, or interfere with the platform's security.

6. How Bien Venue uses your content

Information you enter is used to market the venue through Bien Venue, including in client proposals and the public venue directory. Bien Venue may edit, reformat or decline to publish content, and controls structural details such as a venue's name, address, location, brand and ownership.

7. Monitoring and audit

All changes are logged, including who made each change and when. Bien Venue may review this activity to maintain quality, investigate misuse and confirm that intermediaries are acting within their authority.

8. Data protection

Bien Venue is the controller of the platform and processes personal data in line with UK GDPR and its privacy notice. Portal users must handle any personal data they encounter lawfully and only for managing the relevant venue's profile.

9. Suspension and removal

Bien Venue may suspend or remove any account or access, with or without notice, if this policy is breached, if authority to act is unclear or withdrawn, or to protect the platform or its clients.

10. Accuracy and liability

Venues and their representatives are responsible for the accuracy of the information they provide. Bien Venue is not liable for losses arising from inaccurate or out-of-date content supplied through the portal.

11. Changes

We may update this policy. Continued use after an update means you accept the revised version. Where changes are material, we will ask you to accept the new version when you next sign in.
